Design the guest journey first

A destination celebration begins before the main occasion. Guests need clear information about dates, accommodation responsibility, arrival options, dress, accessibility and the parts of the programme they are invited to. Keep private travel and contact data out of public pages and shared links.

Map the confirmed hotel and venue addresses, group sizes, luggage and mobility needs before arranging transfers. Use current operator information for routes and timing rather than a generic online estimate. Name the dispatch contacts and decide how delays will be communicated.

Clarify what the venue does and does not provide

Ask for a written venue scope covering spaces, furniture, food and beverage, staffing, power, sound rules, access hours, setup, breakdown, storage and cleaning. Confirm whether outside suppliers are allowed and whether approvals or fees apply.

Walk the programme through the property: guest arrival, welcome, formal moments, meal, entertainment, departure and any next-day activity. Check privacy, shared spaces and accessibility. A venue brochure cannot answer the operational questions for a particular guest list.

Make the weather alternative a real event

An outdoor plan needs a confirmed alternative with capacity, layout, production and guest routes that still work. Agree the decision deadline, information source and person authorised to activate it. Suppliers need enough notice to change safely.

Review how rain, wind, heat and daylight affect shelter, flooring, electrical distribution, sound, screens, styling and photography. Specialists and the venue should approve the method for the chosen date and location; a planning guide cannot guarantee conditions.

Connect production and memories

Lighting, sound, speeches and entertainment affect both the room and the recording. Include photographers and filmmakers in the venue and production review so they can plan sightlines, audio feeds, key moments and movement without disrupting guests.

Agree coverage hours, priority people and moments, film or gallery deliverables, usage expectations and delivery dates. Drone coverage is conditional on the location, operator, weather and required permissions; it should never be promised as an automatic inclusion.

Run the occasion from one current schedule

Create a schedule that covers supplier arrivals, setup, checks, guest transport, programme cues, meal service, entertainment, coverage and breakdown. Give each milestone an owner and include contact and escalation information in a private team version.

The final review should confirm what is booked, what remains provisional and who can approve changes. Prices, venue availability, permissions, transport and supplier conditions need written confirmation for the actual event; a destination’s service area does not imply a local branch, partnership or preferred status.
