Start with the purpose, not the postcard
A leadership meeting, distributor conference, incentive programme and product launch place different demands on a destination. Define the required attendance, session intensity, privacy, entertainment and time away from work before comparing cities.
TCEB identifies both Bangkok and Phuket among Thailand’s established MICE cities. Its assessment framework includes access, event support, facilities, venue standards, destination reputation, safety and risk management. Those categories make a useful comparison structure, but the actual venue and date still need direct checks.
Compare the complete arrival journey
Map each delegate group from its origin through the arrival airport to the hotel and venue. Consider flight patterns, luggage, immigration time, group dispatch, peak traffic, late arrivals and the return journey. Do not publish one universal transfer time: it changes with the real route and operating conditions.
If attendance depends on a short business trip, the tolerance for transfers and multi-site movement may be low. If the programme is designed as a destination experience with accommodation and sessions in one place, a more self-contained venue model may be useful. Test both against the guest list.
Choose the venue model before the venue style
Bangkok may support an urban programme using a hotel, convention space, restaurants or separate evening venues. Phuket may support a resort-centred programme or a venue combined with leisure activity. These are planning patterns, not guarantees; either city can contain multiple formats.
Compare sleeping rooms, meeting spaces, production access, breakout needs, privacy, food and beverage, accessibility and weather alternatives as one system. A visually strong room is not suitable if the programme cannot move through it safely and on time.
Test production and supplier logistics
Issue the same technical brief to shortlisted venues. Confirm load-in hours, docks or lifts, ceiling and rigging rules, power, sound limits, internet requirements, rehearsal access, storage and approved-supplier conditions. Ask which items are in-house and which need transport or specialist crew.
Add media requirements at the same stage. Camera positions, audio feeds, interview rooms and same-day editing can affect the floor plan and schedule. Compare total operational scope rather than isolated equipment rates.
Score the destinations against agreed priorities
Create a weighted scorecard for attendance, programme fit, guest movement, venue capability, production, backup options, budget clarity and stakeholder preference. Record the evidence and unresolved questions beside each score.
Before committing, obtain current written proposals and confirm availability, permissions, safety arrangements, cancellation terms and weather or disruption plans. The destination decision should be reviewable: people should be able to see why the chosen city best supports this event, not why it won a generic popularity contest.
Sources and checks
- TCEB: Thailand MICE city criteria — checked . Official confirmation that Bangkok and Phuket are established MICE cities and that destination assessment covers access, support, facilities, safety and risk management.
- Tourism Authority of Thailand: Bangkok — checked . Official destination context; operational decisions still require direct venue and supplier confirmation.
